Terms of Service

Overview

These Terms govern your use of X-ray Vault, a document management and upload solution for regulatory documents (e.g., FDA 2579). By accessing or using the service, you agree to these Terms.

Accounts and Access

You must be authorized to act on behalf of your organization when uploading or managing documents.
Authentication may be performed by third-party providers (e.g., Google). You are responsible for maintaining the security of your account and credentials.
You agree not to share accounts, bypass access controls, or attempt to gain unauthorized access.

Acceptable Use

Only upload content you have the lawful right to upload and share.
Do not upload malicious code or attempt to disrupt the service.
Do not use the service for unlawful, defamatory, or infringing activities.

Documents and Ownership

You retain ownership of documents you upload. You grant X-ray Vault a limited license to store, process, and transmit your documents as necessary to provide the service. You are responsible for ensuring that uploading and storing documents complies with applicable laws and contracts.

AI-Assisted Features

Certain features may use third-party AI services (e.g., Google’s Generative Language API) to extract fields from your uploaded documents. By using these features, you authorize us to transmit document content to those providers for processing. We implement safeguards and limit what we send, but you should review redactions before uploading if your documents include highly sensitive information. Manual entry or correction options may be available if you prefer not to use AI-assisted extraction.

Security

We implement reasonable technical and organizational measures, including encryption in transit and at rest. However, you understand that no system is completely secure and agree to use the service accordingly.

Availability and Changes

We aim for high availability but do not guarantee uninterrupted service. We may modify, suspend, or discontinue features or the service with reasonable notice where practical. We may update these Terms from time to time. Your continued use after changes become effective constitutes acceptance.

Warranties and Disclaimer

THE SERVICE IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING ANY IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, X-ray Vault SHALL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR ANY LOSS OF DATA, PROFITS, OR REVENUE, ARISING FROM OR RELATED TO YOUR USE OF THE SERVICE.

Indemnification

You agree to defend, indemnify, and hold harmless X-ray Vault from any claims, damages, liabilities, and costs arising out of your use of the service or your breach of these Terms.

Governing Law

These Terms are governed by the laws of the jurisdiction where X-ray Vault is operated, without regard to conflict of laws principles. Venue for disputes will be in the courts of that jurisdiction.
